Administrative Assistant

Relevant experience in the professional service industry and/or marketing will be considered but weighted as secondary to the traits above.


About the role

This is a permanent position. Our office is open 4 days a week for July to September, and 5 days a week for October to June with possibility of flexible hours for May to January (we do require 35 hours a week for February to April). Start date is somewhat flexible: between May and July.

Your responsibilities will include reception and administration. Depending on your personal strengths, experience, and interest, there will also be opportunity to get involved in other aspects, such as bookkeeping, IT and/or marketing.



  • Answer incoming calls and direct visitors;

  • Open, sort and distribute mail and courier packages;

  • Coordinate and schedule internal and external meetings, appointments and travel arrangements for multiple staff.


  • Perform a variety of administrative and clerical office support activities for multiple staff, including but not limited to scanning, faxing and printing reports;

  • Prepare, collaborate on, and edit documents including billings, letters, reports, proposals, memos and emails;

  • Assemble documents for submission to various tax authorities;

  • As needed, assist in the creation of presentations, record minutes at various meetings and distribute or archive them accordingly;

  • Maintain electronic and paper filing systems;

  • Responsible for receiving, processing and/or submitting client payments;

  • Maintain and tidy reception area, reception kitchen and supply room including stocking and organization of supplies.
